FESIG ZOOM MEETING ETIQUETTE
There are several reasons why meeting etiquette is important, including:
Improves communication: Business meeting etiquette promotes mutual respect among people in the community, which facilitates strong communication.
Increases productivity: The different aspects of business meeting etiquette, such as active listening, preparation and agendas, increase the efficiency with which meetings are run, increasing the productiveness of that time.
Improves relationships: Business meeting etiquette helps people feel respected within meetings, which translates into stronger workplace relationships.
Tips For Good Meeting Etiquette
Follow these standard rules for proper meeting etiquette:
1. Be punctual to grasp the presentation.
2. Use the camera if possible to make good video recordings.
Important for: Both the host and other participants, especially during Q&A if participant wants to ask a question please have the camera on.
3. Mute the microphone until it's your turn to speak. Mute yourself when you're not talking, and you're eliminating a serious source of embarrassment.

4. Notify others when you want to speak
Important for All participants.
Zoom has an amazing feature that allows you to "raise your hand" to notify others that you want to speak.
Use it to eliminate that annoying situation where participants start to talk over one another, trying to introduce their ideas to the conversation.
5. Avoid multi-tasking
Important for: All participants.
All this multitasking leads to serious problems during Zoom meetings unless camera is off & you're muted:-
a) Important information gets lost. Whoever is multitasking is bound to miss at least some of it.
b) Others get distracted or demotivated by such behaviour too.
c) Not to mention that it's unfair on the person speaking when you're not paying attention to them.
d) Instead, follow the same etiquette as you would during any standard, non-virtual meetings:
• Mute all notifications,
• Switch off your email client and Slack or any other chat software that you use.
• Mute your phone too.
6. Come prepared with relevant questions if need be asked during the Q&A session.
7. Dress appropriately as you'll be seen on the recording by 1000s later.
8. Actively listen and participate at the Q&A. Speak loud enough when asked to speak. Take turns speaking.
9. Follow any speaking rules the facilitator has, such as raising your hand. Also, write down your main points if you think you might forget what you want to say while waiting, but try to continue listening to the conversation while writing.
10. Follow the agenda
Staying on topic is good etiquette because it reduces time wasted on tangents for a productive meeting.
11. Ask questions at the appropriate time
Wait for the Chair to open up to the floor for Q&A to ask questions relevant to the presenter's information. Try to avoid asking all of your questions at the very end when the meeting needs to wrap up. If you have unanswered questions at the end, you could stay to ask them privately or send an email to the Chair, crystal@truevisionofpeace.com
12. Please respect the Chair's duty to make sure the Speakers speak uninterruptedly, keeping track of time and relevance of topic of discussion. The Q&A session only welcomes succinct, to-the-point questions related to the subject presented only which can be answered by the speaker. No lectures, making a statement, nor personal opinion, at the Q&A please, unless invited by the chair to substantiate the relevance of the topic in discussion.
